Board of Trustees Meeting 29 November 2022

I.             Administrative

II.           Reports

a.     President’s Report – None

b.     Treasurer’s Report – Treasurer is still trying to recover lost files from when computer was wiped.  This should be completed within the week and a budget for next year will be created for the next meeting.  There were no significant income or expenses this month.

c.     Director’s Report –
* The library will begin a toddler reading program on the 1st Wednesday of each month.  The director has been training for this at a local preschool.
* The library is looking to restart the Book Club in January.  They had some success earlier but when Covid started the group disappeared.
* The library is looking for more activities for Teens.  The library wants to become a place where teens can feel safe.  This could mean things like game nights, or a Battle of the Books group.

d.  Friends of the Library (FOL) Report-
* There is no new information from the FOL group.  She would like to increase awareness of the group at upcoming events.

III.         New Business

  1. Election of New Trustees
    1. The board officially voted in both Delores Strife and Kelly Coon to the board of trustees.
      1. Motioned: Andrew

      3. All voted yes. 
  2. Introduction to next year’s pay level
    1. The board voted that each staff member next year will receive a 5% pay raise to match the trending pay increase level.

  3. Sexual Harassment Training for 2022
    1. The director of the library presented the training for the Sexual Harassment Training for 2022.
  4. Holiday Schedule for 2023
    1. The director presented the planned days that the library will be closed for 2023.
      1. This is required by NCLS so we don’t have any patrons materials end up being due on a day we are closed.

  5. Trustee Training Requirements Starting in 2023
    1. The director informed the trustees that starting in 2023 there will be a requirement for Trustees to start training as a requirement for them being on the board.
    2. All that is known so far is that it will be 2 hours per year and doesn’t include the Sexual Harassment training.
  6. Tax Cap Funding Letter to Black River Village
    1. The director presented the information for the board about the tax cap level and if we would like to go over the amount.
      1. It was decided that we would not go above the tax cap level for this year.

    2. The director informed the board of the update to the letter that was provided to the Village of Black River and informed the board that the Village of Black River will continue to fund the library.
  7. Senior Project
    1. The director presented a schedule for the board on what times and days we were looking at for making and delivering the Senior Project bags.
  8. Cool Yule Program
    1. The director and assistant director shared information from the meeting between the Black River Fire Department, American Legion, and the Library.  They also shared a prototype of the flyer that is still needing approval from the Fire Department and American Legion.
    2. The director also explained the plan for our section of the event, Cool Yule.  While no set jobs have been created, the director explained some of the jobs that will be needed.
  9. Upcoming Construction Needs
    1. The assistant director mentioned that NYS is sending out a survey about what possible needs for construction libraries will have in the upcoming years, to 2027.
      1. The assistant director mentioned that the structure of the library is still relatively new, but a depreciation record should be generated soon and possibly the only major project would be a new roof by the end of 2027.

IV.         Old Business

  1. Early Bird Auction Results
    1. Money is still coming in from the auction.
    2. Library is poised to make around $2,400 of their $4,000 goal.
    3. It was mentioned that we need to start earlier on the project and focus on getting gift cards throughout the year for the auction.
